Executive Assistant, Head of Governance
The Executive Assistant and Governance Officer acts as a strategic partner, providing first-rate administrative support. This role requires proactive and agile agenda management, smooth coordination of internal and external communications, and rigorous tracking of deliverables. The Assistant to the Executive and Head of Governance ensures the governance of the Executive Committee and Advisory Committee, works closely with various stakeholders, and supports management in all initiatives. The goal is to provide distinctive and exceptional service, demonstrating proactivity, autonomy, organization, and rigor, while ensuring the confidentiality of information.
Roles and responsibilities
Schedule and travel management:
Comprehensive management of the schedules of senior management and their teams, ensuring optimal time management;
Planning and booking business trips and activities, with particular attention to detail;
Complete coordination of travel logistics, including reservations, itineraries, and contingencies.
Administrative and communication support:
Proactive and efficient management of incoming and outgoing communications, ensuring a quick and appropriate response;
Drafting and reviewing various communication documents (letters, memos, presentations, reports, etc.);
Production of professional visual aids (presentations, documents, etc.) with particular attention to layout and quality.
Meeting coordination and governance:
Coordinate meetings of various committees, client and partner follow-ups, preparing schedules and meeting agendas, handling logistics, and drafting reports and minutes of these meetings;
Maintain organized and easily accessible documentation, ensuring the accuracy of meeting minutes, decisions made, and actions to be taken.
Collaboration and customer service:
Take a solution-oriented and service-focused approach to internal and external customers.
Collaborate with various stakeholders to streamline internal and external communication.
Provide exceptional, differentiated service by demonstrating proactivity, autonomy, organization, and rigor, while ensuring the confidentiality of information.
Required skills
Détenir au moins 5 ans d’expérience en soutien de direction ;
Faire preuve de professionnalisme et de haute confidentialité ;
Avoir un esprit d’analyse et de synthèse ;
Avoir une excellente maitrise du français et de l’anglais (à l’oral et à l’écrit) ;
Faire preuve de minutie, de rigueur et d’autonomie ;
Savoir gérer ses priorités de façon proactive ;
Savoir favoriser un environnement de travail collaboratif ;
Avoir le souci de la satisfaction clients internes et externes ;
Maitriser la suite Microsoft Office, particulièrement Word, Excel et PowerPoint.
