Project Coordinator - Civil

The Project Coordinator in our Civil Division, under the supervision of the Chief Project Coordinator, liaises between stakeholders, ensuring that project deliverables are on time. He/she also ensures ongoing document management to guarantee effective coordination of the projects under his/her responsibility, and provides administrative support to the various stakeholders.

Roles and responsibilities

  • Carry out document management for projects under its responsibility: Plans and specifications, Minutes, QRT, list of deliverables, distribution group, first version of subcontract, etc... Facilitate weekly project meetings, including note-taking;

  • Classify and distribute minutes of the various projects under his/her responsibility;

  • Update plans and specifications in Procore and ensure control of project reports;

  • Coordinate and send out samples;

  • Assist subcontractors, suppliers and project management teams in the use of Procore;

  • Collaborate on price requests from subcontractors and suppliers;

  • Distribute reports, QRTs, directives and deliverables for follow-up meetings with professionals;

  • Approve invoices and update data in Civalgo;

  • Participate in project management continuous improvement projects;

  • Account for quantities of bulk materials (concrete, aggregates, contaminated soils);

  • Communicate clearly and effectively with all project stakeholders;

  • Monitor daily equipment inspections and forward to customers requiring follow-up;

  • Monitor and ensure compliance with deadlines for various project deliverables;

  • Ensure accurate accounting of project inputs (i. e.g. workers' hours, bulk materials, etc.);

  • Track and compile material / job times;

  • Identify and assess potential risks throughout the project, proposing mitigation measures;

  • Ensure the constant, complete and ongoing updating and management of project documents;

  • Any other related tasks.

Required skills

  • Vocational diploma, AEC or college diploma in accounting, administration or other relevant discipline;

  • 3-5 years' experience in accounting or other related fields;

  • Relevant experience in the construction industry;

  • Proficiency in Office Suite (Excel, Word);

  • Proficiency in Procore and Civalgo software (an asset);

  • Ability to work independently and proactively;

  • Ability to manage several projects simultaneously;

  • Thoroughness, attention to detail.
